
Madrid Airport Transfers: What Actually Happens on the Day
From the moment your flight lands to the moment you reach your door — how a private airport transfer works, and what is included.
The difference between a good airport transfer and a bad one is rarely the car. It is what happens in the twenty minutes after you land — whether someone is waiting, whether they know your flight was delayed, and whether you have to explain your destination twice.
Before you travel
Bookings must be placed at least two hours before pickup. For an airport arrival, the pickup time is your scheduled landing time — not the time you expect to reach the exit. We build the rest in.
If you give us your flight number, we track the flight. A delayed landing moves your pickup automatically, and you are not charged for the wait.
When you land
Meet and greet is included on every booking. Your chauffeur waits inside the terminal with a name board rather than messaging you from a car park.
- Complimentary waiting time at airports: 60 minutes
- At hotels and private addresses: 15 minutes
- At cruise ports: 30 minutes
Those windows come from our published Terms of Use. They exist so that passport control, baggage reclaim and a slow carousel do not turn into a surcharge.
In the car
Every Crown Rides vehicle carries the same standard: an English-speaking chauffeur, a complimentary bottle of water, free Wi-Fi and a mobile charger. For an executive arriving on a red-eye, the charger and the Wi-Fi are usually the two that matter.
Which vehicle to choose
For one or two passengers with normal luggage, the Mercedes E Class is the standard choice. The S Class and Maybach are the same journey with more space and quieter cabins. Travelling as a group, or with skis, golf clubs or a family’s worth of cases, the First Class Van, Minibus or Maybach Van make more sense.
If you are unsure, tell us your passenger and luggage count when you book and we will confirm the right category.
Changes and cancellations
Plans move. Changes to time, address, passenger count or extras such as a baby seat are free up to 24 hours before pickup. Inside 24 hours we will try, but cannot guarantee it.
Cancellations follow a published tier: 48 hours or more before pickup is a 90% refund, 24 to 48 hours is 50%, and under 24 hours or a no-show is non-refundable. Severe weather, strikes and genuine emergencies are treated as force majeure and may be rescheduled or fully refunded.
