A Day Out of Madrid: What to Sort Before You Book

Vehicle, luggage, timings and what happens if the day runs long — the practical decisions behind a private day trip, made before you set off.

A day out of the city is the one journey where the car stops being transport and becomes the day itself. You are in it for hours, not minutes, and the things that go wrong are rarely dramatic — a boot that will not close, a departure an hour later than planned, nobody sure whether the driver waits or leaves.

All of it is decided before you book. Here is what to settle first.

Count the luggage, not just the people

The most common mistake on a full-day trip is choosing the vehicle by passenger count alone. Seats and boot space do not scale together — a van that seats seven does not carry seven large cases, because the rear bench takes the space the luggage needed.

On the booking page, enter the real passenger and luggage numbers before you choose a vehicle. The list narrows to what actually fits, and the capacity is printed on every card.

Decide the shape of the day

Two different bookings suit two different days:

• A fixed route — you know where you are going and roughly when you want to be back. Book it as a city-to-city or trips journey.
• An open day — several stops, timings that will move, a lunch that may run long. Book by the hour instead, and the chauffeur follows your direction rather than a route set that morning.

Book early enough

Bookings must be placed at least two hours before pickup. For a full day with a specific vehicle in mind, more notice is better — the Minibus and the Maybach Van are single vehicles, not a category with spares behind it.

Waiting time works in your favour

Complimentary waiting is 15 minutes at hotels and private addresses, 30 at cruise ports and 60 at airports. Those windows come from our published Terms of Use, and they exist so a slow start does not become a surcharge.

On an hourly booking the clock is simply the hours you booked, so a long lunch costs you nothing extra beyond the time itself.

What travels with you

Every vehicle carries the same standard: an English-speaking chauffeur, a complimentary bottle of water, free Wi-Fi and a mobile charger. On a day trip the Wi-Fi and the charger stop being a nicety somewhere around the third hour.

Child seats and other extras are arranged on request — add them in the notes when you book rather than on the morning.

If the plan changes

Changes to time, address, passenger count or extras are free up to 24 hours before pickup. Inside that window we will try, but cannot promise.

Cancellations follow a published tier: 48 hours or more is a 90% refund, 24 to 48 hours is 50%, and under 24 hours or a no-show is non-refundable. Severe weather, strikes and genuine emergencies are treated as force majeure and may be rescheduled or refunded in full.

Distance and journey time are shown on the booking page as soon as you enter pickup and drop-off. The fare is confirmed with your booking — tell us the day you have in mind and we will price it properly rather than guess at it here.
